Hi there, I’m just wondering how everyone keeps track of who they have? Is there a program to input everything? Some type of template of how to list everyone? TIA

I have done this too. Albeit it isn't entirely up to date. I also have a photo catalogue of my collection, although the images of the G1 ponies are all over the place at the moment...the other gens are much more organised ;)

I use an app/website called Snupps to organize photos. I guess I could use Pinterest if I really get tired of the other one but for now it's alright.

Oh, I soooo need to do this!! All my stuff is in storage though and my plan has always been that one day, when I finally have some display space again (dreams wistfully...), that I'll photograph each methodically as they come out of the boxes.... I dread the thought though, truth be told - I think it'll be a nightmare undertaking :lol: :lol:

Haha no kidding. Especially with lots of variations and stuff as well! I have photos of all my ponies, I think. But while I have nice neat folders for G2-4 with labelled images, for G1 I have a whole set of prepared folders and actual images which are all over the place and everywhere else. Sigh. But it was helpful having a complete spreadsheet with my backcards on, because it meant I could take the list to ponycon and know if I needed a card...
I am guilty of storing a lot of knowledge about what G1 stuff I have and don't have in my brain. Which is not a great organisation skill.
I've also been lazy in the sense that a lot of my collection are on my website, which means those that aren't have been neglected for a long time and trying to fill those gaps is a challenge *rolls eyes*.

I have a checklist with the ponies who appear in the TV specials and seasons, plus I added ponies that didn’t appear in the cartoons.
Plus I’ve got a checklist for my Barbie dolls, plus I’ve got a book checklist for my customs dolls.

I have am excel sheet for each generation :)

I have guide books for Us ones, and would lvoe one for the non US ones, i keep track and mark in my book every time a new pony comes in. Then I do to my want list and take them off it.

I have a Word document which I call The Pony Census :). I write down the ponies I have, sorting them by gen and then alphabetically by name. Next to each name I write where they came from and other details like if they have had repairs or are a particular variant.
For my favourite ponies I made my own factfile/scrapbook with photos and little descriptions of their personalities, because I'm a bit strange like that :lol: and it was fun.

I have spreadsheets and word documents for g1 to g3. G4 I use the mlp merch site. I also use summer hayes her books for the accessories. And I am also very happy with the smartphone. It saves me printing when I am on a convention or meeting. I can open all document to check the collection.

I honestly just remember what I have and what I don't have. Although it's getting harder the closer I get to 500 ponies. I do have a Snupps account that I've uploaded parts of my collection and I plan on eventually adding the rest.

I have three spreadsheets, one for ponies, one for playsets, and one for pony wear. I need to update them with pictures, but I'm so far behind on that it would be a month-long process, at best.

I really need to catalogue every pony. But the way how I keep track is simple. My sister and I play with the ponies often, so I see everybody quite often. From there, I can remember who I have. It’s probably not a foolproof method, but it works for right now.

I need to start as my collection is quite big right now, so I'd probably create a little spread sheet for them.

I used to use spreadsheets, one for each generation, but I fell behind and stopped keeping up with it a couple years ago. :/ I would recommend it though! I have a program on my computer and I would copy it over to a google docs spreadsheet just to have a backup.

I don't, I just remember which ponies I have. Although... I recently found a near mint Baby Ember in my box, and I have no idea where she comes from. The last Ember I remember (that rhymes!) had a mohawk and an eyerub, so I guess it's not a very foolproof method. XD
A couple of years ago I made an attempt to create a Wordpad file with all my ponies in it, but I got confused...

I kind of just keep a mental checklist. I felt like I had a solid grasp on who I had and who I didn't for a while, but I've noticed I'm starting to lose track. I'll just do an inventory at some point this year and bring myself back up to speed! I think if I just print off some sort of physical checklist that would work for me. :)

It would really save electricity to make a photo album of my toys... get lazy and just browse at stuff I am too tired to put away again. But having shelves where you can see them also makes it easier to check that no body got forgot after exploring your place. My ponies get restless tend to go roaming pretending to graze on carpet... sometimes they stay out all night and in the morning I need to corral them again!

We were told they were going to be. Hopefully eventually they will be. They have made some improvements to the cataloguing (NSS Paradise doesn't seem to be on there any more) so I guess they're working on it. There are still some issues (Truly, Cupcake are listed under movie star ponies rather than their proper sets, and a whole host of Posey problems, not least magenta posey being listed in mainstream under year 3 when the pictured one belongs to Gypsy's set). They have made a real effort to correct stuff we raised in the thread a while back, so credit to them for that. I hope they're going to do more to correct those other errors, as right now it still seems like they're piggybacking the Wiki's bad filing system, but we'll see.
Hopefully in the long run they'll move the UK and European ponies back to mainstream where they belong, but it does say they're still working on it. I guess we just give them time to figure that out. Websites are hard work. :/

Mostly just remembering who I have in my head. This works alright for regular ponies and most things, really. But sometimes I really struggle to remember what G4 plush I do and do not have since I've thrifted so many over the years and display them in a pile in the corner to where you can't see each individual one, so I'll often forget the ones that are more buried under there.
I do also have a checklist on MLP Merch but I'm not the greatest at updating it, and it doesn't really work for things that they don't have in their database like random merchandise that isn't figures or plush of any kind. I also have a Snupps that I need to do a lot more work on but it's just such a pain to photograph for it when I have to take a bunch of things off the shelf and then put them back on. Never feel like doing it.

I have a spreadsheet - it's pretty scattered and badly organized, though :blush: But it's worked for me so far.

Excel spreadsheets with tabs for different categories - US adults, US babies, MO, Euro/UK (with separate sections denoting which is which), playsets, clothing, and G2. My nirvanas have their own spreadsheet, and I'm working on a merch sheet. Each entry contains a checklist of accessories for that pony, too, and space for notes on what I have, like what it cost me, what the average price is (or was when I bought it), where I got it, flaws I can see, etc.
When I complete a set of ponies, I highlight that set in green. Then I start working on accessories for them, if I don't already have them. I bought a legal sized binder on Amazon and set my margins to allow me to hole punch it. It's a lot of tiny info!
EDIT: an excerpt. I revise my formatting occasionally, probably will include whether I have something or not in the actual accessory checklist cell.

/If/ I had a large collection - I would make a veeery organized and pretty bullet journal-- completely with checkboxes and side notes. I would absolutely looove doing that. :P I wish I had a large collection now.
but I don't, and I'm able to name off all the ponies I have since I'm content with a small collection.

We're indeed in the process of merging these together so that UK/EU exclusives and variants are no longer in a separate part of the database. We're making progress, but as this includes some structural changes most of this is not yet visible on the live website.
Actually, we're moving away from a separate nirvana section completely, which makes filtering by pony or color work on all G1s.

I also use an excel spreadsheet, always have. I input the details of each pony as I buy them, including all flaws that I might have noticed on the seller's listing, who I bought them from, when and where and for how much. And then when Pony arrives I update it. I have a photograph of each pony, before and after spa day. The folders are arranged in alphabetical order and ordered by Generation on my laptop, and on an external hard drive.
And as I don't have that many ponies (only just over 200 G1, including baits and ponies awaiting rehairing) I also remember who I have.
Then I have a separate folder for my original wish list (from 8 years ago before I knew who was rare and who wasn't and that some ponies might cost more than my kidney) and my wish list additions as I have learnt about more ponies. It is nice to be able to tick ponies off from a list once they arrive. I like ticking things off of lists, there is something just so satisfying about that.

I keep a excel spreadsheet with details of all the ponies and accessories and their condition, and a photo log with before and after cleaning photos. But I’m thinking of setting up a Wordpress site to combine the two when I have time.

I made an excel sheet on my computer desktop. you can use google Sheets on your android app.
I made the first 6 cells frozen so when i scroll down i see that at all times.
under Cell 1B I have [My little pony inventory list]
3B [Total number of Ponies]
4B [Total estimated value on all items]
5B [Year 1981-2018] 2B and 6B are blank
I then put this in 3C =SUM(I8:I888) I888 is how many ponies I almost have. I have 835 ponies, keep the letter the same as the the first letter and then it will add how many ponies you have...
So like it could be =SUM(B7:B1000) I hope that makes sence.....
so for me I Use the letter I. so in cells I7-I888 I put a pic and a number 1 behind the pic so the 1s can add up in Cell 3C. its a process.
so cells B7-I7
B7 My Little Pony Name, C7 Series / Notes, D7 Generation, E7 Country, F7 Condition, G7 Year/Make of Pony, H7 Value and HI pic and number 1 behind the pic.

if you have 5 ponies in a box put 5 behind the pic instead of 1. your counting how many ponies you have. if the pic happens to be an accessory then don't put a number there. if its a play set with a pony put how many ponies there are with the play set. or if you have play sets separated from ponies so no pony in your pic leave it blank again.
Thats the way I set up my excel file then you back it up several times give it to a family member or put it in a bank safe box. Just Back it up. and update all files as you get a pony.
if you buy every month then wait every 3 months then back up again.
by the way 4C would have =SUM(H8:H888) in it then it would add the value of your ponys
